Publish a BPMN Diagram

NOTE: Only Process Admin and Admin can publish the BPMN diagram. Refer to Roles and Permissions for BPMN Diagrams for more information.

To publish the BPMN diagram,

  1. In the Processes module, select the Process Browser tab.

  2. Locate the business process in the list where the diagram is located.

  3. Open the Process.
    The process details page shows the list of diagrams connected to the business process under the Diagrams section.

  4. Click the three dots in the right corner of the respective diagram and select Publish.

  5. You can review the final draft and then click Next.

  6. You can see the list of existing relationships retained and new relationships added in the repository.
    BlueDolphin automatically validates the relationships before you can publish the process.

    NOTE: In case an issue is detected in the relationship, contact your BlueDolphin Admin or Architect.

  7. Enter the Publication summary of the process in the text box. You can add notes, version details, and descriptions about the publication.

  8. Click Publish.

Once the view is published, it will open on the process details page. All the published details appear here. Date/time stamp for created, last edited, and published is localized to the user.

NOTE: At the moment, it is not possible to unpublish a process diagram, but you can replace or update the published diagram. Refer to Update the Published Process for more information.

Considerations for Publishing

Simultaneously publishing may cause duplicate relationships

If multiple process admins or admins were to publish at the same time, and such that there are some common relationships, duplicate relationships may get created in the repository.

Existing relationships with labels

If there is an existing relationship with a label and you were to publish a process that involves the same relationship type and the same objects, a second identical relationship will be added to the repository without a label.

Deleting a business process object from the repository

When a business process object is deleted from the BlueDolphin repository, the published process is not deleted. You can still access the snapshot of the published process via the URL if you have it saved.

Fixed the URL of the published process

The URL of a published process is fixed. It does not change no matter how many times you publish the process. This also means that it will always display the latest published process snapshot.

Processes Permissions for publishing a Process Diagram

Users with Process Administrator or Administrator roles can publish any BPMN diagram.

The following are the possible scenarios where you may encounter an error while publishing.

Scenario 1

In case the permissions are not set for these roles, you can get an error while publishing,

User must have ‘Read and write’ set for the ‘Relations & Diagram’ permission on object definitions (for example, business process and application component).

Scenario 2

If the relationship definition does not exist in the repository, an error may occur as missing inputs.

Scenario 3

Make sure the object combination is enabled from the admin section.

Scenario 4

If, during publishing, someone deletes an object that is being used in the process, you get an error saying the object does not exist in the repository.

Access Published Diagrams via SSO

If your organization uses SSO with BlueDolphin, any employee can view published diagrams — even if they are not BlueDolphin users.

BlueDolphin allows anyone in your organization to access published BPMN diagrams if they authenticate through the same SSO provider. This feature enhances collaboration among internal stakeholders.

To access a published diagram:

  1. Publish the diagram.

  2. Share the link with employees.

  3. Recipients sign in with your organization’s SSO to view the diagram.

NOTE: Users can only view the published diagram. They do not have access to the process overview.
